What happens in the first four weeks
Week one is the audit: we listen, read and map. Weeks two and three are build and test on your real cases. Week four is go live with a person watching every hand-off. From then on, one session a month. You need about one hour in week one and one hour a month after that. Open
Setting up call forwarding
You receive your AI number during the build. Forwarding is conditional by default: the AI answers after four rings, when busy, or outside hours. The exact code or admin setting for your carrier is in the guide on forwarding calls, and we set it with you on a screen share before go live. Open
Connecting your calendar or booking system
Google Calendar, Outlook, Booksy, Square, Calendly and the others connect through their official permission screens. You log in, you tick the calendars the AI may write to. Staff calendars can be read only. You can revoke access at any time from that provider. Open
Approving drafts
Drafts wait in your inbox as replies ready to send, or in the daily list, depending on what you chose. One tap approves, one tap edits, one tap rejects with a reason the AI learns from. Anything with money in it always waits for you unless you turned on automatic sending for that case. Open
Changing a spend cap
Every paid service has a daily cap you set during the audit. To change one, reply to the morning digest or write to us. When a cap is hit, the service pauses until midnight and you get a message with the reason and the option to raise it. Open
Reading transcripts and recordings
Every call has a transcript and a recording in your log, searchable by number, name, date and outcome. Recordings are kept for the period you set and deleted after. Flag any call from the log and it comes up in the monthly session. Open
Changing what the AI says
Prices, hours, services and standard answers live in a document you own. Edit it and the AI uses the new version within minutes. Bigger changes to behavior and rules go through us so they get tested first. Open
Changing the hand-off numbers
The on-call phone, the nurse line, the manager: each is a number in your settings with hours. Change them any time. A test call is run after every change so nobody finds out at 2 am that a number was wrong. Open
Does the AI tell callers it is an AI
It introduces itself as your office assistant. If asked, it says it is an AI assistant and offers a person. It never claims to be human. Where recording disclosure is required by law, it is given at the start. Open
Languages
The AI answers in the caller's language for the languages on the languages page. Written answers, texts and emails follow the same rule. You choose which languages are on and whether hand-offs go to a specific person per language. Open
Where data lives and how to delete it
Your data stays in your systems. The AI reads and writes there. Logs, transcripts and recordings are stored encrypted on servers we run for you, deleted when you say or when the service ends. A written deletion confirmation is sent within seven days of a request. Open
Cancelling
Thirty days written notice. Forwarding is turned off, connections are revoked, logs are exported to you and deleted. Your systems are left exactly as they were. There is nothing to migrate back because nothing was moved. Open
